Conference room hire


We have a range of flexible meeting spaces for day (and evening) meetings available throughout the year and a wide range of up to date conference facilities. 

Our location is easily accessible by road and bus and is a short taxi ride from railway stations.  A map and directions can be dowloaded here:  Hospice_map_and_Directions.doc

Free parking is available, however, this is limited and car sharing is encouraged.  Alternatively, there are several Worcestershire buses which regularly stop directly outside the Hospice - please follow this link to the Worcestershire County Council's bus timetables: http://www.worcestershire.gov.uk/cms/bus/timetables.aspx (our stop is listed as 'County Hall, Wildwood Drive').

Amendments to Room Hire Charges for 2012

You will see that there are some slight amendments to the prices (see 'Meeting Room And Conference Facilities 2012' sheet above) in order to differentiate between the sizes of the rooms and to make it easier for us to calculate invoices for those bookings where discounts apply.  We have compared our facilities and prices to those of other local competitors and we believe that St Richard’s Hospice Education & Resource Centre still offers excellent value for money.  We greatly appreciate all feedback from our clients so please do let us know if you have any comments - contact Rebecca Stewart, telephone 0845 128 1301 or email education@strichards.org.uk.


Booking Form for 2012

We have updated our room booking form for 2012 bookings.  Please download our booking form here: External_Booking_Form_2012.doc and use for all future bookings.
 
Please note that room bookings cannot be confirmed without receipt of a completed booking form and provisional room reservations can only be held for 10 working days. 

Could you please bear in mind that we do work to a tight schedule for preparing rooms and make sure you allow for any overrun of meetings when listing the times of your booking.  Often, unless there is an overlap of our half day or evening booking cut off times, there is no extra charge for booking a room for an extra half an hour.  Unfortunately, if we need to clear a room for another booking, we may have to interrupt your meeting.

Please also bear in mind that invoices will be raised based upon the information on the booking form, unless we are advised otherwise, so any changes to bookings need to be made in writing in good time.  Whilst we will always do our best to accommodate any last minute alterations, this is not always possible, particularly with regard to food orders.

Room Hire Cancellation Policy

Cancellation received in writing 5 working days before booking date:  No charge
Cancellation received in writing less than 5 working days before booking date:   50% of total fee
Cancellation received less than 48 hours before booking date:   100% of total fee
If refreshments or buffets are already prepared, these will also be charged for.


Evening And Weekend Bookings

Just a quick reminder that we do not have any staff on duty in the Education & Resource Centre or the Facilities Department in the evenings or at weekends.  There is limited volunteer cover on our reception desk, but it would be a great help if one delegate from a meeting could meet other members of their group in reception, ask them to sign in and out on the desk and point them in the right direction.  We do have some limited availability of our equipment (projectors, flipcharts etc) but please make sure that all requirements are discussed with us prior to your event to enable us to make allowances for this where possible.  Unfortunately, there will not be anyone to assist with any equipment issues, however, if we know in advance that you will be using it, we will leave full instructions out for you.  Please do not attempt to unplug any of our fitted cables as this can cause damage.  Top tip!  If bringing your own equipment, please remember to also bring an extension lead!

And finally…

Our weekly fire alarm test will be held at 2pm every Monday.  There is no need to evacuate the building, providing the alarm does not sound for more than a few seconds, and we apologise for any inconvenience this may cause.  Could you please advise all members of groups attending meetings on Monday afternoons to expect this.
